The Green movement is sweeping across the business world trying to save the environment. Everyday we see commercials and billboards from companies about going Green. Most small business owners see these advertisements and think, What difference is it going to make in the environment if my small business goes green or paperless? The truth is, it may not make a huge difference in the environment, but it will save your business money and make it much more efficient. As a salute to the 2010 NAR Midyear Conference and Expo winding up today, let's discuss the top 10 reasons a company should go paperless:1. Cut paper costsWho wants to spend their money on paper? Starting in kindergarten, our teachers had us buying 200 sheets of notebook paper, and then we only ended up using 16 pieces. What a waste! The most important thing any company wants to do is increase profits. If your company does not spend money on paper, printers, ink, and copying costs, expenses will be decreased. Save your paper expenses people, and buy your co-workers a beer!2. Reduce paper messIf a company is not using paper and all documents are online, there will be no paper mess on desks. Improve the image of your business and have a clean work environment! Increase document accessibilityWe have all had the job where our boss says dig through that file cabinet and find me the document from a few years back. He points to the file cabinet across the office that is filled to the brim and all the drawers are jammed. We then work up a sweat yanking on the drawers and finally it flies open and the papers go everywhere. If all documents were saved on your computer's hard drive, you could pull up that document in three clicks.4. Save timeIf your company needs a signature from a client, they usually have to drive across town to meet the client and get their signature. With online forms and e-signatures, an e-mail with the form can be sent and the client can sign the form within minutes. A paperless business will even cut fuel costs!7. Backing up documentsWhen some people go out for lunch, they like getting the biggest, juiciest burger, with the grease-splattered fries, and then return to work without washing their hands. They sit down, grab that important document with those greasy fingers, and boom, it's ruined. With a paperless system, the document will be backed up on your computer if anything happens to it! 8. Reduce employee burnoutLong days at the office can really put a damper on employee performance and energy. Instead of having shots of 5 Hour Energy soiled around the office, have a shot you are going to enjoy. With online documents, employees can work from home and not always have to be at the office to get work done! 9. Keep your documents safeIf an important document is published within the company that you do not want outsiders seeing; it is much safer to have this document stored online.
